The charge of the committee was reviewed for new and returning members.
1. Designs and monitors the implementation of consistent college credit enrollment and registration procedures.
2. Works with the VP, Student Services to:
a. Develop and monitor new student enrollment procedures.
b. Review and recommend college credit registration procedures.
c. Review and recommend college credit registration and payment dates.
d. Recommend student communication practices.
3. Seeks to continually improve the enrollment and registration process. Providing efficient and welcoming service to students to support the college's strategic enrollment plan.

Minutes were amended to reflect that Self-Service had not been totally fixed, but the technical issue mentioned in Item 2 had been resolved. Motion to approve by Linda Terry. Second by Patricia Behr. Motion passed unanimously.

Strategic Enrollment Committee Update

Shared information related to new committee assembled by cabinet level convening. Co-chaired by Melissa Curtis, Jessica Vess, and Gretchen Riehl. Two subcommittees created to address high school and adult new student recruitment, enrollment, and retention planning for the next three years. Membership of committee reaches across various departments of the college including faculty and adult education representation. Suggestions were made to wrap in ESOL and Technology voices and views into the planning of the committee.

Salesforce Enrollment and Technology Updates

Presentation of current/upcoming IT projects:
1. BOX - New records management planning to replace aging Fortis. Should be 100% implemented by early 2021. Working on high school transcript uploading now.
2. Salesforce - Launched for Adult Education. Dual credit and CE should be launched in October/November 2020.
3 Marketing Cloud - Customized messaging for students in their current place on journey with ACC. Released January 2021.
4. MOGLI - Text messaging to assist recruitment and enrollment efforts. Testing now. Should release in November 2020.
5. Campus Logic - Electronic signing capabilities for financial aid using a 3rd party vendor. November 2020 release date.
6. Bold 360 Chat - Exploring college-wide chat capabilities with live agents and artificial intelligence. Currently in place with Student Help Desk and Academic Advisors. Want to expand system.
7. Chosen Name Project - Currently, in place as of August 2020. Working out communication issues to insure preferred name appears in all fields.
8. My ACC for Faculty and Staff - This will host a resource of information. Will move the online services to this application. Is available now to access.

Description
Fall 2020/Spring 2021 Enrollment

Fall 2020 went well with enrollment only down 2% in headcount. Actual credit hours taken is flat compared to Fall 2019. These are great numbers considering most other community colleges are way down for fall enrollment. Adult Education is slightly down and CE is even. Adult Education is 100% synchronist to allow for financial aid requirements. Retention is good, but planning an enrollment push for spring 2021 like was done for fall 2020.
Concerns were voiced about the number of holds going to be placed on students accounts for lack of completing the required online Title IX Compliance training. Based on current lists, there are 7361 students that will end up with a hold and not be able to register for spring 2021 classes. Need communication efforts directed toward these students as soon as possible. Spring 2021 classes will be like the current fall with most courses being online. The online course schedule for Spring 2021 should be available September 24 or 25.

Campus Based Enrollment Support

Noticed that post high school/no college degree enrollment is down 13% compared to 2019. Concerned the drop is being caused by not being in person to assist with enrollment and registering for courses. The new salesforce was very difficult to navigate for adult education users and does not work well on a cell phone. It was noted that 35% of the processed applications did not end up registering for courses. The is leaving about 3,000 potential students on the table. Questions arose as to why these students did not end up coming to ACC. Think that the later registration dates caused a lack of time to actually get registration complete. Suggestions were made to open campus destination centers to assist in registration and enrolment, use ACCelerators, or use tents outside. Enrollment advisors and academic advisors could run the stations and use calendly to set appointments for potential students. Stated the necessary personal protective equipment be worn and social distancing imposed. Would take volunteers in those departments to work these stations. The current EOC policy does not allow anyone without an ACC ID onto any campus. A change in policy would need to be made for NEW student candidate access. Suggestion was to use remote locations or ISD facilities, but most of these are closed and not accessible. Also, suggested registration kiosk units at locations throughout the community (HEB, Starbucks, etc.) Requests have been requested for the EOC to create plans for non-ACC ID visitors be be able to come into a campus facility. Registration for Spring 2021 has been moved to October 26 for returning students and November 2 for new students. The registration review survey will be coming out by the end of the week for Student Services to respond about what went well and what needs modification.
