The CORE Committee approved the use of CHGA to track OTHER.COHORTS.
The questions that were raised were:
(1) IT Security will need to know who to add to the access list as CHGA has historically been an OIEA screen process.
(2) The list of proposed cohorts appears to be old and in need of revision.
(3) No changes to the XSAS screen process should occur as a result of using CHGA to track cohorts.

The incorporation of the Areas of Study concept into Continuing Education has become an official 'project'. The project involves multiple departments. The most immediate step that seems to be needed is to align the new CE departments under the correct 'Division'. The need for a project plan with all of the required steps has become very clear.

With the creation of the Areas of Study and the Institutional Realignment there has been a flurry of requests to create new departments. The confusion that is occurring is that the requests seem to involve a hierarchy of levels, incorporating (A) an umbrella department that incorporates many other departments; (B) the individual departments that may or may not be subsumed under an umbrella department; and (C) sub-departments within an individual department. The hierarchy makes sense, but the data structures, or at least the data structures that exist in Colleague, only include one level. That level is the file called DEPTS. Thus, the CORE Committee has chosen, given the existence of only one level in the ERP, to include in DEPTS only the departments that exist as individual departments. DEPTS will not include either umbrella departments or sub-departments.

The CORE Committee looked at the data errors emanating from the PERSON file.
There is only one data error in that file and that is a student who has an email address that exceeds the 50-character maximum length for email addresses. The student has a first name and last name that, combined with the '@g.austincc.edu' suffix is a data length violation.
The CORE Committee recommends that since email account creation needs another analysis performed on the process to ensure maximum efficiency, that a fix to the email account creation be performed when the concatenation of the first name and last name would create an email address exceeding 50 characters.
