Business Services
Presenter
Cheryl Coe
Minutes
• Business Services is halfway through the alphabet archiving student AR/CR transactions. The failure rate is still around 25%. Still encountering display issue when using RGBS to view a student records that has archived transactions. If no term or an archived term is used to display the record, the error message “Incomplete Prior Billing” appears, however, the billing is accurate. The error does not appear when a non-archived term is entered. Only terms prior to 8/31/08 are being archived. The problem was reported to Datatel and they replied it was a known bug and are working on a solution. • The 2010 fiscal year end closing of the books will probably be December 10. December 3 is a payment deadline and a DREG is scheduled, so it seems that December 10 is the only choice unless it is decided to run those processes on a different day. Final decision is still pending. Questions should be directed to Neil Vickers or Kathy Dinse. • Testing for 1098Ts is currently being done to ensure the process is running properly. The target for mailing the forms is January 24. The target date for the forms to be available online is January 17. • There are 536 spring payment plans to date. Spring college credit enrollment is 10769. • Bus Passes- Communicate to students/staff that the bus passes are issued to students registered in college credit courses only. • Reminder: There is a spring registration payment deadline November 5. Fall payment plan deadline is November 12. Holds will be applied to student accounts with defaulted payment plans. • Use of Web UI4.1 – Staff are encourage to use it daily. The Business Services staff is having issues with the system being too slow and times out quickly. Screens are not easy to use and scrolling down on pages is not an option. The anticipated go live for this is June 2011.

Access is an issue because it is currently tied to ACC domain and not all faculty/staff are on the ACC domain.
