Kathy James
Kathy presented information on updates she and her group have been able to take care of as the entire college prepared to work from home. Kathy James and her group are working on getting proper equipment in order to continue to provide onboarding service to student applicants. Currently there are three people covering online advising services 7-day a week.  The advising schedule has not changed and continues to be Monday-Thursday 8am - 9pm, Friday 12pm - 6pm, Saturday and Sunday 10am - 4pm.  Kathy also addressed that the new VPN is working. Staff are able to log into the network but some people have experienced being dropped and having to log in several times while using the VPN. Currently no other advisors are working with the online advisors but the activity will be monitored and if more staff is needed to keep up with the traffic it will be addressed as needed. Kathy also recommended that we steer students to the ACC Advising webpage for updates, appointment scheduling and Area of Study contacts. Https://www.austincc.e du/students/advising/areas-of-study-advisingncc.edu/advising IFA and Degree Map are back up and accessible. Currently her group is in in the process of creating EDU classes that advisors use to deliver to the students during a class visit. They are trying to figure out the best way to deliver the necessary information to the students during the outage. Without TSI, ACT, SAT scores students cannot be advised. Advisors are currently at a standstill without the test scores. When students are meeting with advisors online it is recommended that the advisors use the “Old Chat” method that the Help Desk uses to track analytics. When advising students WebEx is preferred by ACC because it covers the privacy concerns and responsibilities. It was also noted that officially webex should be used when meeting with students especially when screen sharing. If all else fails and you have to use Google Chat or Google Hangouts advisors and counselors must be able to clearly identify and confirm the student identification before disclosing and private information. Decisions/Actions: Kathy will keep Deans, advisors and counselors up to date with any changes or corrections during the work from home time.

Holly Delacroix-DeRouen
Discussion: Testing and scores Decisions/Actions: Lelani and Vicky Ireta are working together on verifying and accepting scores. Since January they have been electronically accepting ACT scores. Currently they are working on a process for obtaining and accepting SAT scores. Currently college executives are hesitant to place holds in order to east stress and anxiety on students. Once a final decision has been made by the college this will be shared with everyone. Holly – Examini is shut down. Accuplacer is looking for a solution. Next week the college will start using Proctor U. Testing updates will be sent to Sylvia Partida so the official webpage can be updated. AMP – currently waiting for a status update CASAS - decision/Update are expected April 13 th or 14 th ESOL – currently working with Susan about online options and testing. Once tech requirements are determined this information will be shared with advisors so they can share it with students should advisors be approached about this issue. ESOL webpage will be updated to reflect changes.

Discussion: Change points were presented by Mike Acosta. Students will be required to meet GPA of 2.0 or greater per semester. Students will be able to move up if cumulative GPA meets grade requirements. Howard Sharp made a motion to table the discussion. At this point it was noted that if the item is tabled it would go to ASAC and they meet in April and may not address this issue until the fall. Katherine Dowdy seconded the motion to table the discussion of changes to ASP. Vote total was 4-Yes, 9-No. During discussion Louella asked about Pass/Fail option has been accepted. Wade let the group know that at this time they should not worry about the Pass/Fail provision. The possibility of the new ASP Review process could affect Financial Aid.
