Admissions Application Upload to Datatel Process

Admissions is set to do training on the delivery of application. IT will have until October to work on the upload. This will be the application process used by the College Connection Team. The CCAT Team and Student Recruitment will be trained and will begin using it in mid September with the first CC school.

a. Committee has not met for the last several months, however, will meet in September. Items to be discussed:
i. Vendor workflows
ii. 2 new Financial aid workflows
iii. IT now has a statement from the attorney on electronic signature and are moving forward with evaluation on ordering and paying for transcripts online.
iv. IT has a request to place an option to purchase a parking permit online
b. The new re-designed pay advise should be live September 1. Pay Advices will no longer be printed. Yeah!!!
c. The proposed Web Advisory committee has been approved. Ed Terry will have one last meeting with the Web committee and I will have one last meeting with Online Services. Ed and Theresa will meet in the next week or so to plan the first meeting of the new committee and finalize membership.

Human Resources Update on New Electronic Processes

• Full time faculty contracts are online for the second year now.
• The new PA system is live and working well with a few minor glitches that IT is working to solve.
• On September 4, the new federal ethnicity report will be uploaded. On October 12, HR will resurvey new employees to change ethnicity on Datatel based on new guidelines.
• E-Hire version 2 is going well.
• Pay Advise is the new online system to view our direct deposits. ACC employees will no longer get paper paycheck stubs.

• Gmail policy and guidelines has been sent out to employee groups for comments. The ACAC has reviewed it several times. I am not sure where the process is at this time
• Received request to activate the “Google Sites” application. This allows students to set up their own websites. We will evaluate this application, work on guidelines for use and hopefully have the app active for Spring 2010 semester.
• Sent draft procedures to Linda Kluck and Marie Fofi to address name changes and merged duplicate records. We will meet to discuss and finalize these procedures in the next few weeks.

A request charter was signed by ABE to send student contact information to School Messenger for emergency notifications. IT will be working with ABE on the file format and ID# system then send the file to school messenger. It is understood that ABE students have no way, currently, to keep their contact information updated with School Messenger.

Overall the new Installment Plan worked well. There were a few DREG issues with students that thought they had done a payment plan, however, had only paid a portion of their tuition. 9913 students successfully completed the installment plan online. 9% of students used the ACH feature. Parking Permits caused lines at the Cashier’s Office.

• CE term is still appearing on Online Services and needs to be removed. Partial payments cause problems for CE.
• CE needs an employee link to register for classes
• CE is still having problems with integrated classes
• CE is encouraging students to sign up for Gmail even though there are no policies in place yet.

• IT is wrapping up the 2008-09 project list
• Media Order- Challenges with this because bookstore sometimes has conflicting information.
• Datatel has a screen that faculty can update office hours. It was suggested that IT review this screen for possible use.
• Bus Pass Project is also coming up with a go live date in January.
• IT is also working on converting their web environment.
