April 2013 Minutes approved. {bb,nw} Addendum to Agenda item #3 from April meeting: Prior to April 2013, the LTREQ file was not being cleaned up. Fernanda reviewed the Answernet document related to LTREQ file cleanup, and did the cleanup as adviced by the Answernet document. The result: Communications Management is now running \'\'real fast\'\'. The plan will be to clean up the LTREQ file once every \'\'semester\'\'. Addendum to Agenda item #4 from April meeting: The new level 1 \'FW\' restriction code is \'\'in use\'\', and is working appropriately. It is directed at financial aid recipients that are currently not in \'\'good standing\'\', and is intended to encourage the student to attend a workshop covering the association between grades and aid.

Dianne presented Marie\'s proposal to separate location codes that represent \'\'centers\'\' from location codes that represent high schools. So far the only one that has been added is \'\'Cedar Creek Center\'\' (CCR1), which is now separate from \'\'Cedar Creek High School\'\' (CCH1). Centers will have an \'R\' as the 3rd char; High Schools will not. Some likely future additions: \'\'Leander Center\'\' (LER1), as opposed to \'\'Leander High School\'\' (LEA); \'\'Lockhart Center\'\' (LKR1), \'\'Manor Center\'\' (MCR1), and \'\'Pflugerville Center\'\' (PHR). The proposal was approved.

All codes that have been recently requested have been approved by CORE, and been created in Colleague \'\'Live\'\'. There have been no reports of problems.

Work Flow - How it will work in Financial Aid

Fernanda did a nice presentation of Financial Aid Work Flow. The intent was to show other departments how Work Flow can be advantageous in their departments. IT will be holding a meeting to discuss the IT roles in Work Flow Management the following week. Addendum: The IT meeting was held and questions regarding the \'\'Resource Database\'\' emerged. A follow up IT meeting will be necessary. However, IT should have all the necessary recommendations in place for populating the Financial Aid components of the Resource Database quite soon, with the hope that Financial Aid can \'\'go live\'\' with the new work flows.
