The FA Status page went live. IT is working with Admissions on the capability to let students view their address online and if it needs to be corrected, giving the student a link to update the address. Another IT project is the request to allow students to order and pay for their transcript online. Theresa also mentioned that the “Right Answers” project went live on November 2. This is a search, knowledge base system for “Questions & Answers”. Faculty and staff can ask and get different kinds of information about the College and systems. Each department with Q&A’s in the system is responsible for keeping the data current and accurate.

Gmail policy has not been approved yet. Theresa will send an email to Mike Midgeley to find out of the status of this policy and target date for this to become the official means of communication to students. To date, approximately 44% of all Gmail accounts created have been activated.

500 students have already initiated installment plans for the Spring 2010 semester and approximately 10% did it at a campus. Business Office hopes this number continues to decrease as students get more familiar and comfortable with the E-Installment System. November 13 is the last payment deadline for installment plans. The Business Office will do an analysis after the 13th to determine how the new payment plan worked and make recommendations based on the results. The Business Office needs assistance from IT to modify the XPARK screen. Business Office needs update capability to track the various new programs that are being implemented by the College in regards to parking permits, bus passes, green cars, etc. FA students that have pending financial aid awards will not be dropped at census date. The Financial Aid Office will work the DREG lists provided by the Business Office and notify students that they must activate their loans or pay the balance owed.

Marie expressed some concerns about the new PA system. Jim Malmros asked Marie to email the concerns to him so he can meet with John Behrens, the lead programmer in charge of the PA system. These are the concerns: 1. The PA system does not have Department Codes for CE GL accounts so it is necessary to manually enter the GL account numbers. 2. PA system approval process overlooks the Budget Authority when the Budget Authority is not the supervisor of the person who is entering the PA. 3. PA system does not allow you to review all PA’s approved by department. Other Concerns for CE: CE Terms are currently listed on the Current Student Online Services Registration page. Payment for CE classes is due at the time of registration; however, students using the Current Student Credit Registration page can register for a CE class without payment. The CE Term cannot be removed from the Credit Online Registration page at this time because instructors of integrated classes cannot view their CE class rolls when the CE Term is not listed. IT is looking into the issues involved with removing the CE Term from this area so that students will need to go to the CE Instant Enrollment registration page which does not allow registration without payment for CE classes. IT will also look into adding a link to the CE Online Services web page to allow employees to register for CE classes without payment (so they can submit a voucher).

Soon reported that the Data Retreat held on October 30 was very successful. Outside consultants met with employee groups, department heads, administrators, faculty, staff and various groups over three days to give an overview of the Achieving the Dream concept and the data to assist ACC. New federal and state reporting requirements will add additional work projects for IT.
