Admissions Application Upload to Datatel Process

Upload did not happen during the last week in September. The Admissions Office will try again the week of October 12th. Not all pieces are ready for upload, programming for XRES screen has not been done yet. Texas Apply changed the format so IT had to redo some of the programming already in place. College Connections Assessment and Advising cannot really get started until the Admissions piece is completed. Address issues are still a major problem with Apply Texas. Linda asked the Apply Texas group if they would consider the QAS software for Apply Texas Application and was turned down. Most schools do not want to deal with programming that is required to get QAS running.

The Online Services Committee no longer exists. The new Web Advisory Committee will be chaired by Ed Terry and Theresa Harkins. The committee is scheduled to have their first meeting on October 15.

IPEDS -Race and Ethnicity Requirement

The student change form went live on September 4th. No notification will be sent out to students. It is available on Online Services so students can change or update if they want to. October 12th will be the date staff can go and change their status if they want to. All has gone smoothly. Bobetta in HR is working with IT because Datatel does not provide fields needed for HR reporting. Another problem with Datatel is that the ethnicity field is a multi-valued and it needs to be single value. - Non-resident aliens group has also been a challenge because this group has been used as an ethnic value in the past and this no longer is an option. OIEA does not want to overlay what is already on the system.

Adhoc Committee to Discuss Late Registration

There is a committee that will review the dates for Late Registration for Fall 2010. The committee will review the possibility of not allowing students to register once classes have started. The late registration dates will be moved up so that students will not be registering once classes start unless there is college error, level changes, etc… The Instant Enrollment Module will also be reviewed by IT to see if this is an option during Late Registration. The alternative is doing a DREG every night during the last week of registration prior to classes starting.

HR will be sending an email on October 12th giving employees the opportunity to re-select their race/ethnicity questions on file with HR based on the new federal definitions/guidelines. - The first payroll for the new fiscal year went very well. No glitches. - Pay Advise was welcomed by staff. No complaints.

Thanks to Laura Niles and Theresa Harkins, AE was able to put emergency message system through test. It was successful. AE is working with Mike Davis to get GED students on Datatel when they come in for testing. These students are also on the TEA system.

- CE terms appear on the Current Student Online Services registration page which allows students to register without submitting their payment. Registration fees for CE classes are due at the time of registration. Currently, the removal of the CE term affects the instructor’s ability to view an integrated class roster. IT is looking into this problem. - If IT can remove the CE term from Current Student, ACC employees may need another access point to register for CE classes. CE would like an employee link on the Continuing Education Online Services page to allow employees to register for CE classes without having to make a payment. - CE is encouraging students to sign up for Gmail even though there are no policies in place yet.

OIEA has a new position to help with the SACS accreditation process. David Block is the new SACS Coordinator. OIEA is now fully staffed. - OIEA is busy working on the Achieving the Dream Grant Project. Oct. 30th will be the Data Retreat at the Radisson Hotel. All IPC members and other staff will be invited. OIEA will be presenting data on Student Success Initiative. This will be the data used to track how well ACC is doing. - David Lydic and Lynn Beaman will work with the new SACS Coordinator on faculty credentials. Kimberly Martinez will also be working on faculty credentials - OIEA will begin to work on the SACS accreditation approval for the new Round Rock Campus in November. - Spring 2010 OIEA will have a class to teach staff about data cubes and programming with this new software. It costs about $11,000 for twelve students. Key areas/departments should attend this class such as Admissions, Financial Aid,HR, Business Office, etc. Kathleen will try and find funds for her areas, IT will also be asked to help fund this training.

IT is working on changing the Datatel Software Upgrade process so that the DSSC will get an early look at the next batch of Datatel patches. The goal is to bring attention to the software upgrades at an early stage in the monthly release process, with some initial explanatory documentation, so that potential problem patches can be identified early and adequate testing time can be allotted by both departments and IT. Support for early warning of new Datatel software upgrades was articulated at the meeting. - One of IT\'s FY10 is improving Reporting Solutions for departments. IT will be working with key employees from departments that need to do institutional reporting. Entrinsik Informer is a product that can report from both UniData and SQL Server. Crystal Reports is a product that is an industry standard for SQL Server reporting. The project plan will incorporate the utilization of both of these products. IT is also interested in working with OIEA in working with the SAS reporting tool. - ODS (Operational Data Stores) is a Datatel product where UniData data is made available in a SQL Server environment. 111 of the Datatel-delivered transforms have been successfully created. A few customized transforms have been successfully developed. Many of the transforms are now being manually updated on a daily basis. Automation of a scheduled task to update these transforms is being researched. 6 of the Datatel-delivered transforms \'\'fail\'\', and this problem is being researched. Some of the data is not available in a truly relational manner making reporting problematic. IT is in communication with Datatel concerning this issue. When fully ready, reporting from ODS tables and views can be performed using SQL Server reporting tools such as Crystal Reports and SAS, and, further down the road, Entrinsik Informer. A development version of the ACC Online Directory has been constructed using ODS tables and views.
