Cheryl Coe emailed her report since she was unable to attend.
a. SPRING PAYMENT PLANS: Students will have to go to a campus cashier to set up their spring payment plans. There is no longer a $10 set up fee. Students will make their first down payment (and subsequent payments) of 25% at the cashier office. The last payment of 25% can be made online.
b. TOUCHNET: We have one of the weekly scheduled TouchNet meetings this afternoon. The target date for having the implementation phase completed is Feb 2009. Anticipated ‘Go Live” is summer semester.
c. 2008 1098Ts: ACC will have to mail the 1098T for 2008 to students. Datatel has indicated that students will be able to display and print their 1098T from online services. The student will even be able to download a PDF that looks like the 1098T form. However, IRS requires that the form be mailed and the downloadable PDR is not yet an approved substitute so students will not be able to “opt out” of having the 1098T mailed to them. Datatel hopes to have an approved version for 2009.
d. PARKING PERMITS: Parking Permits are now issued at the Campus Cashier Office:
• Complete a Parking Permit Request form available from any cashier office or online.
• Submit the completed form to the campus cashier, pay $10 and obtain a parking permit.
• Faculty/staff may pay for their parking permit through payroll deduction. Complete the payroll deduction form available from any cashier office or online.
• Submit the completed payroll deduction form to the cashier office and obtain a parking permit. (Note: It will take 4-6 weeks before the amount will be deducted from your paycheck)

Maggie de la Teja asked if it was possible for the Installment Plan Promissory Note be made available online so that students can complete this prior to coming to campus. Terry Bazan was going to follow up and ask Cheryl Coe

The Alumni Office had a Datatel consultant provide training on the Communication module, however, additional training is still needed. November 11-12 another Datatel consultant will be providing training on reporting.

Update on Prerequisite Checking

Course by course prerequisite checking is possible, however, it would mean that ACC change the way it does business. The prerequisite checking flag would affect all courses with a prerequisite, it cannot be done on a course by course selection. Dallas Community College District has done some programming to do the prerequisite checking on an individual course basis so Andrew will check with them about this. The committee recommended that the prerequisite process remain the same until the system can provide more options.

The conversion to the new Datatel server went very well with minimal problems. Andrew stated that IT is working on the FY 09 list of projects. One of the projects IT is working on is improving the reporting tools available for staff. SAS is one component that will be considered as a reporting solution in addition to query builder.
Kathleen reminded Andrew about the Request for Services (RFS) on credit completion rate that is not listed on the Project List. The completion rate is currently calculated manually because it is not currently found on the Datatel system. It was suggested that the GPAT or STAT screen may be a good place for this completion rate calculation.

IPEDS Patch for race and ethnicity

A working committee is being formed to review the various options that may be available in reporting race and ethnicity. The group needs to review the impact of their decisions on the various departments college wide that use this data. The committee will start meeting sometime this month. The change in reporting takes effect for 2010.

OIEA Update

IPC retreat went very well. Soon stated that there are major changes in the Master Plan database and how staff will be entering initiatives. A three year view will be collected with the cost estimates for the three years required. If the Master Plan initiatives are approved, these items will roll into the Operating Budget. Departments will not need to re-enter these items again. HR, Tech Plan and facilities will now be part of the Master Plan initiative requests so in submitting the initiatives, departments will be forced to request and communicate with these areas as needed. Soon thanked Andrew and his staff in IT and Neil Vickers for all of their work in getting this done and for making it a very good workable system.
OIEA is working with SAS programming. ACC has a college wide license that is available for anyone who would like to be trained. The new IPEDS ethnicity change will impact the whole college, so we all need to think about how it will affect our areas.
The Data Warehouse project is starting to put out a lot of information by providing canned reports that are available for department users. Another piece of SAS programming will be the ability for OIEA to create tables for departments that they can then use to create their own reports. The Grade Distribution report is already available for staff to use and it is on the OIEA website.

CE does not currently have an automated system to perform program evaluations. The Nursing department has a system that OIEA created and CE would like to be able to use something similar. It was suggested that Marie contact Rich Griffith in OIEA so that the information can be populated automatically instead of manually as it is currently being done. Connie suggested that the problem may be a mapping issue which could be easily fixed.
