Status of proposed ERP RFP

As of October 5, a Request for Proposal (RFP) for a new Enterprise Resource Planning plaform (ERP) was only in a 'draft' state. A lengthy discussion was held. Note: Enterprise resource planning (ERP) is business management software—typically a suite of integrated applications—that a company can use to collect, store, manage and interpret data from many business activities, including: Product planning, cost Manufacturing or service delivery Marketing and sales Inventory management Shipping and payment ERP provides an integrated view of core business processes, often in real-time, using common databases maintained by a database management system. ERP systems track business resources—cash, raw materials, production capacity—and the status of business commitments: orders, purchase orders, and payroll. The applications that make up the system share data across the various departments (manufacturing, purchasing, sales, accounting, etc.) that provide the data. ERP facilitates information flow between all business functions, and manages connections to outside stakeholders.

Self-Service for Student Planning & Registration and Self-Service for Financial Aid are moving forward. A 'soft launch' will be occurring in October. The Portal project is expected to be moving forward in the month of October. It is currently in the analysis phase. The Recruiter project is waiting in the queue, pending purchase of the product.

Fortis has been the long-time Forms & Imaging software at ACC. Committee members expressed interest in Perceptive's Image Now, which is compatible with Colleague and handles electronic forms well. Committee will plan to explore this issue more fully during the December meeting.

Text messaging is an issue where the Committee might be able to help formulate a recommendation. Currently, the Emergency Alert system (RSAN/Cooper) does text messaging. It was also reported that ACC 101 has text messaging. Also, Morpheus, a product recently purchased and used by HLC Advising staff, reportedly has text messaging. Other product areas where text messaging could be beneficial are: Regroup, Accudemia, Waitlisting (part of Colleague), RAVE (expected to be the successor to RSAN/Cooper for Emergency Alerts), and eIntake (part of ACC's suite of SQL subsidiary software products).

The Committee expressed concern about the proliferation of 3rd party products that do not fit with the ERP (Colleague) or any other software products. To make these 3rd party products interact with each other requires IT project development resources. The Committee believes it can help in formulating wise recommendations. Certain 3rd Party solutions to keep an eye out for are: Golf POS (Point-of-Sale) system Digital Asset Management software

Discussion of the need for Ellucian consultants to work with administrative departments to keep up with new product development, best practices, and improve knowledge of the system. Concern with the limited number of Remedy licenses and the difficulty of using the product. A request was made to highlight the url. Agreement that a Flow Chart document of all systems would be beneficial.
