Discuss Spring 2020 Enrollment

Enrollment has been increasing. Based on 12-2-19 enrollment data snapshot we are up 2.8% from 2018 and up 7.1% from 2 years ago. New high school dual credit are up, while new traditional students are down. Will be a false rise this December, due to new Same Day Pay program starting in January. So de-registration will not happen in December.

-Board approved new Workday system to replace the old Colleague system. The systems will start change for HR and Business/Finance. Student side will be last. Business systems will be jumping back and forth for awhile between systems. -Salesforce will replace student enrollment systems college-wide by next September. -Box will be new document storage system and will manage electronic signature for internal and eventually for students. Box works directly with Adobe. IT suggested to get your Adobe systems upgraded to allow with electronic signature component to function. Box is starting with institutional records and is replacing Fortis.

Dr. Curtis asked all members to review all the above administrative rules to recommend updates and changes. Some changes might just be new leadership names or new links to updated policy, laws, or forms. Enrollment Management will try to upload all administrative rules to a google folder for all to collaborate on updates to suggest to the leadership council. The rules typically need to be reviewed every 3 years.

New Same Day Pay Procedures

The new system will be implemented January 6, 2020. New communication has been sent out to all students. It was requested that the communication that is sent out to students please be forwarded to admissions, high school programs, and student services so they will know what is being said. Wait lists will remain in place and function like they have in the past. First drops for non-payment will happen January 7, 2020 at 12:01am. Financial aid will help students apply the first payment and then setup payment plans. Drops will only happen on weekdays: Monday-Friday. Staff asked to change the wording on website from 'Holiday' to 'College Closed Day'. Same Day Pay program does not apply to CE. Drop days for meningitis vaccination will be January 6, Friday before classes start, and at Add/Drop time. IT stated to submit a Mojo ticket to get access to the informer report that will show students that are going to be dropped for non-payment. Staff asked if open seats can be updated more often on the online course catalog. Open seats are current in self-serve, but not on the online schedules. Wait lists will be notified as usual as students are dropped from registration in a course.

Self-Service instructional video feedback: -Can course title/category be removed so students are not confused on not picking a section of the course and not just the course title? -How does a new student find out who their advisor is? -Check data on screen to make sure erroneous. -Student Affairs vs. Student Services labeling. -Change payment deadlines on screen to reflect new Same Day Pay Program.
