1)
Description
Approval of Minutes and Review of Committee Charges

Minutes
Minutes approved by Kay Trent, seconded by Jackie Burns. The Review of Committee Charges served to refresh the committee on processes, procedures, and responsibilities for future items brought forward. Action: Approved

Description
Use of Testing Center for Exceptions List Summer 2022 NCBM Math
Presenter
Lindsay Orlando
Minutes
The ACCelerator is not an ideal environment to test in as there are tours, other classes, and general open computer use. Dr. Umphrey submitted a clarification that the Testing Center guidelines allowing students to test in the Testing Center would remain for Fall 2021 and Spring 2022. The question at hand is whether these guidelines are approved for Summer 2022 and Fall 2022. The issue is that these exceptions must go through a lengthy process to be approved, and it was suggested to make testing in the Testing Center instead of the ACCelerator permanent to avoid repeating the exception process. After discussion, the committee decided to move forward as is for at least the Summer, allowing students to test in the Testing Center. Action: Holly Delacroix-DeRouen will reach out to the appropriate contacts to see if there can be movement on the exception process for at least Summer 2022.
3)
Description
Streamlining Testing Center Data
Presenter
Roxane Royalty and Holly Delacroix-DeRouen
Minutes
There was a discussion about how the Testing Center can support the enrollment side of the student enrollment process. Further exploration for potential uses of available data: 1. The Testing Center can determine how many students may need developmental education courses and share this data with instruction to assist in determining courses. 2. If a student has not completed the application, Testing Center staff can assist in completion. 3. In order to assist students to the best of their ability, a better understanding of the enrollment process from start to finish would be beneficial for Testing Center staff. 4. Alignment with Chancellor Priority - increase the number of students completing first-year math and English courses. There is a significant number of people who test that provide data for tailored outreach to boost student enrollment. This committee can make recommendations for alignment with other committees, categories of tailored outreach, and other ways to collaboratively utilize student testing data. Additional action for this committee will be decided at a later time. Collecting TSI scores for all areas would be beneficial for many programs and areas of the college. Action: Informational
4)
Description
TSI Core Curriculum Workgroup
Presenter
Roxane Royalty
Minutes
A workgroup was proposed to make recommendations and review what other colleges are doing for core curriculum in regard to TSI completion. This committee was asked if any members would like to lead the TSI Core Curriculum Workgroup. Jeanne Chaltain volunteered to lead. The main issue is that there are two exception lists, and some of the courses on each list may cover the Reading portion of the TSI but not Writing. This committee recommends that the TSI Workgroup meets before the next AAC meeting and come up with recommendations. Action: The TSI Workgroup will meet before the next AAC meeting (July 22, 2022).

Description
Academic Alerts-Inspire/Blackboard
Presenter
Kathy James
Minutes
Inspire is an advising mediated technology for anyone with direct student engagement. Notes, case management, student messaging, and academic alerts are all housed in this software. In February Inspire launched for Academic Guidance personnel and Faculty. A pilot was conducted for Faculty and Student Affairs use throughout the Spring semester. Overall, the Workgroup was able to streamline the process to make navigation and reception easier (accessible via Blackboard). A summary of the process can be found here. (https://tled.austincc.edu/faculty-support/tools/blackboard-learn/academic-alert/?proxy=faculty-support%2Ftools%2Fblackboard-learn%2Facademic-alert) The Advising Mediated Technology Training Request can be filled out here. (https://docs.google.com/forms/d/e/1FAIpQLSdjXF2Fjo7QybZ4nYixEqY5pcSymQqrYQw9zHW3a686pKrNog/viewform) One thing that still needs to be addressed is the timeliness of the alerts. If an alert is released after a session is over, there is not a lot of room to address the alert. Overall, these alerts should be visible for all Academic Guidance personnel this Summer. Action: Updates

Description
Advising Caseload Management
Presenter
Kathy James
Minutes
The Caseload Management model has undergone a transformation. Key things to know about this model are: 1. On average, there is about a 300+-to-one balance for Academic Guidance Specialists. 2. Students are assigned as soon as possible (aiming for the first week of classes). 3. Target group populations that will be case managed are First Time in College Students (and First Time Less than Twelve), Minority males and females, students with Low/Moderate GPA (2.3 or lower and Academic Standing), and First Time Full Time enrolled in Fall THECB graduation cohorts (this group goes to Success Coaches. All other First Time students go to Academic Guidance Specialists), and Academic Alerts. The focus on these subgroups is FTIC completion of gateway Math and English, FTIC completion of minimum 15 SCH in the first year, ASP, TSI status and compliance, Withdrawals, Special Affinity Programs, and enrollment in subsequent semesters. This model is set to be released in Fall 2022. Student awareness of the Academic Alert process has yet to be determined (where to include the information, will it be on a course’s syllabus). The committee agreed that locating this information on the syllabus would be a notable location for students. Action: Informational

Description
Enrollment/Orientation Advising
Presenter
Kathy James
Minutes
AoS advisors are the personnel students are assigned to and advised by. In the enrollment and onboarding process, enrollment and entry advisors assisted. In the orientation process, orientation advisors assisted with orientation and throughout the first semester of student’s enrollment. Enrollment and Entry advisors have changed their name to Orientation Advisors. All of these advisors are cross trained to assist in the enrollment and orientation process. Students that have less than 12 credit hours must participate in entry and group advising. They will receive an Admissions Group Advising (AGA) hold to participate in this advising for their first semester of classes. After that, they are assigned to an AoS advisor. The Google Doc for the Best Way to Help a New Traditional Student can be found here. (https://docs.google.com/document/d/1b8mM-oABOEbonwa-xwAgvXJ2JeFfOTSl7U8U-QZo9GU/edit) There will be notes for each student interaction to indicate who has met with which student.
