Agenda:

1)
Description
ERP/CORE or ERP & CORE?
Presenter
Discussion
Minutes
During the months of February and March, the ERP Systems Steering Committee and the CORE Committee were combined into one meeting. The idea was that there is some overlap of material that gets covered in both groups. It was determined that the idea of merging the two meetings into one, while a good idea, was neither a great idea nor a popular one. In April, the two committees will be separated again.
2)
Description
Brief Update: ECM System RFI/RFP
Presenter
Andrew
Minutes
The Purchasing Department released the Request For Information (RFI) for a new Enterprise Contentment Management (ECS) system on March 7, 2017. The submission deadline is March 30, 2017, at 14:00 CDT.
3)
Description
Brief Update: CROA
Presenter
Andrew
Minutes
There is interest in continuing using Informer to do standard reporting, and focus on the CROA dashboards and the analytics functionality in the short run. Financial Aid and Human Resources are very interested in meeting with the Ellucian Consultant to go over the CROA dashboards. The Student System dashboards have been presented recently and several ACC employees will produce some feedback by March 9. There is also interested in getting the AR/CR Business Services group involved in the dashboards that are available for them.
4)
Description
Institutional Realignment: Game Plan & TImeline
Presenter
Kathy G &/or Dianne
Minutes
The new instructional dean codes will be added to courses and sections in mid-May 2017, just prior to Fall 2017 registration.. The codes will be applied to courses with 8/28/17 start dates, and sections beginning 217F000. CMS will be modified later in the Summer. eStaffing for Fall 2017 might be a little confusing because it occurs in April, before the changes will be applied in Colleague. The new Dean codes are: DAADM - replacing DTARH, DWSCA, and DWATM DABUS - replacing DWBUS DACOS - new DADMC - replacing DWSCA, DWATM, and DTSBS DAHES - replacing DWHES DALAH - replacing DTCOM DALAS - replacing DTSBS DASEM - replacing DTMAS DAPSS - replacing DWATM and DWHES

Description
Colleague Test Cloning Schedule
Presenter
Discussion
Minutes
There are always a lot of questions related to when the Colleague Test environment is going to be cloned next. IT is proposing that the college set a regular schedule as to when this ought to occur. After discussion, the general consensus was that the idea was a good one, and the preference was that Colleague Test be cloned from Colleague Live on the first Friday morning of every month. The agreement would be that if any department would be negatively impacted by the cloning occurring on the set schedule and could make a compelling and convincing case to skip cloning until the following month, then the cloning would be skipped. As soon as the IT-Operations/ERP group completes the clone, the IT Security group would immediately apply the post-cloning operations. Upon completion by IT Security, the IT-Operations/ERP group would make Colleague Test available again online. Follow Up Update: This idea was not embraced universally, and, at this point, there is no set schedule established.
6)
Description
IT Projects
Presenter
Discussion
Minutes
The Committee was interested in what decisions the Technology Steering Committee had made in prioritizing ACC project requests. At the next ERP Committee meeting, a list of IT projects will be presented. Follow Up Update: A list of official projects is still a very desired item.
