Expansion continues for ACC enrollment numbers. The higher enrollment growth continues to be within dual credit and Early College High School (ECHS) students. Distance and online learning are also growth area for ACC. Marketing reported that a digital push occurred in the 100 mile radius area around ACC service district. The push promoted online courses offered at ACC.

Highlighted current enrollment projects in the ACC IT Department: 1.) Recruitment and Enrollment in Salesforce will roll out as a demo on Monday. It will go live July 2020 for Adult Education and September 2020 for all students. 2.) Electronic signatures are going live first with the Financial Aid Department. The system will be using authentication procedures similar to FAFSA requirements. 3.) District is moving from Fortis to Box for capturing and retaining records starting in March 2020 with institutional records. 4.) Data hub will become the depository for all data. Data will be live and updated every 15 minutes. 5.) Student Roadmap: •Improve Advisor Assignment: Once a student has finished """"""""""""""""enrollment"""""""""""""""" then hand them off to the next step automatically. •Advisor Daily Work: In class Advisors don't have a daily dashboard. Challenging to keep up with students and their behavior. •ISIR & FASFA: review students data before they are a student-and provide them with a financial aid estimate. •Want an interim solution between Salesforce & ERP. •Paper Transcript Processing: When they come in via paper it is hard to document received & need to send to central processing. Paper causes complaints and problems with students. 6.) The high school portal is being developed for high school staff to help manage dual credit students enrolled in ACC. 7.) Early Alert, the system is waiting to upgrade to the latest version of Civitas and they are contemplating the effort due to the upcoming WorkDay transition. 8.) Faculty portal in the process of being finalized. TLED department is helping design this system. Linda Terry asked to be on this advisory team to represent the needs of admissions and records.

Registration and payment calendars were presented for Summer 2020 and the 2020-21 academic year. The calendars are modeled after the schedule for Same Day Pay in spring 2020. The committee agreed with the proposed calendar deadline plan. Dr. Curtis will present it to the next level for approval. The ACC Marketing Department would like the dates as soon as possible to start the planning for next year.

Same Day Pay and DeReg Updates

The overall opinion was that the new Same Day Pay implementation went well. Overall, numbers did not show a difference in students that ended up being dropped. Most students re-enrolled and got into classes after dereg. The high school programs were challenged to contact high school students still on winter break.

Thanks to the members who looked over the rules and made suggested changes. Three rules were highlighted with most changes being grammatical, spelling, punctuation, procedural, and linkage to active pages. The committee members were charged to look over the rules presented again before the May meeting so change suggestions can be presented for approval.

Registration Station Update

A presentation of Area of Study information sessions was included. Handouts were distributed. Registration station data were presented for January 2-22. A total of 1791 students were helped with enrollment. Campus and other demographic data were presented as well. High school programs would like the stations opened earlier. It was suggested to start these stations at the same time enrollment opens. Resources are a concern.

It was brought to the committee's attention that the class registration system can sometimes be frustrating and difficult for students to navigate. The idea of trying 'College Scheduler' was presented by two committee members on a free trial basis. Another suggestion was to roll out the online help videos to show students how to navigate the ACC enrollment and course selection processes. Suggestions were made for the self-serve site to have a 'HELP' button. The current help section is not student oriented. The help desk would be the obvious place to send inquiries. Future discussions on solutions will be brought back to the table.
