STATUS: UNIFIED COMMUNICATIONS PROJECT (GOOGLE MAIL)

Beta test has ended. IT and IRT techs will claim their accounts week before Thanksgiving; IT will convert the week after Thanksgiving, IRT will convert the week of December 6. We will re-evaluate issues and deployment plan, make adjustments and be ready for general delivery by mid January. Conversion will be open to everyone, but highly suggested that users do not move until their department is scheduled to do so. IT will not be able to provide conversion support to those that go outside the established schedule. Will report status at January meeting

Want to switch all web page owners to use the new dynamic templates. When web page owners respond to Edward’s questionnaire, they will be asked to move to the new templates. Edward will notify users that respond to web survey

Discussed feedback on the documents that were distributed at the October meeting: 1. Need to possibly update appropriate Administrative Rules so that web use procedures can refer to the rules : • ACC Internet (External) Website - http://www.austincc.edu/admrule/3.02.005.htm • Publications and Printed Materials - http://www.austincc.edu/admrule/3.02.006.htm • Use of College Information Systems - http://www.austincc.edu/admrule/3.05.002.htm • Copyright Ownership - http://www.austincc.edu/admrule/4.02.006.htm • Copyright and Fair Use - http://www.austincc.edu/admrule/4.02.007.htm 2. We are also bound by agreements with UT….. 3. Need to establish similar rules for students before we deploy google sites to students 4. What rules are appropriate? Can instructors post items on web pages that have Amazon purchase buttons? 5. What different rules will apply to different TYPES of websites and/or sub domains 6. Edward requested IT to notify him every time a new website is created. Once the domain re-structure begins, any unknown websites may be lost. 7. Questionnaire was developed to identify active web pages. Those web pages will be moved according to the new structure. Web pages not identified in the questionnaires will be deleted 8. Request for permissions to sftp web pages be controlled via ACCeID.

1. Can ACC Google administrators monitor for new staff google sites and send the creator a copy of ACC rules and guidelines pertaining to ACC web sites? 2. Can staff and student sites be searched for certain keywords? 3. What will the url for staff google sites look like? 4. Request Seth to begin using student email addresses on Blackboard instead of staff emails 5. Fix the IT website to remove the bad link to ACC Forms
