Jane opened the meeting with a welcome to everyone. She introduced new member Donna Howard and asked everyone to go around the room and introduce themselves. Emily Hulings attended as a guest and sat in for Chaundra Tarver, Workforce Solutions.

Jane presented the minutes from the November 2013 and June 2014 for approval. She explained that the June meeting was called due to the changes mandated by the legislature to change all degree plans to 60 credit hours. All members unanimously approved the minutes from November 2013 and June 2014.

AAS Medical Administrative Assistant Issues

After presenting the changes agreed upon in the June 2014 meeting, it was discovered that the 3 hour medical terminology course selected to replace the 2 hour course previously used would be deleted from course inventory. In order to satisfy the 60 hour requirement for the AAS Medical Administrative Assistant degree, the following changes were made: HITT 1305 Medical Terminology will be replaced with HPRS 1206 Essentials of Medical Terminology. HITT 1353 Legal and Ethical Aspects of Health Information will be replaced with a 2 hour HITT 1253 Legal and Ethical Aspects of Health Information. Add HITT 1213 Insurance Coding. For Financial Aid reasons, classes were moved around to make sure each semester had at least 12 credit hours.

Jane reported that all degrees and certificates meet the new requirements mandated by the legislation and are awaiting presentation to the coordinating board.

MS Office 2013 for Fall 2015

The discussion opened about software changes, and Roni stated that the college will not be going to Windows 8, instead they will skip it and may begin transitioning to Windows 10, fall 2015. Jane shared that the Office Administration program would also make changes fall 2015 and transition to Office 2013. With that in mind, the following courses will be rewritten: POFI 2301 MS Word I POFI 1204 Windows/Outlook POFI 1449 Excel POFI 2340 MS Word II POFI 2350 Access ITSW 1310 PowerPoint *POFI 1341 Web Design Basics – textbook not available for Office 2013 (A textbook is available that works outside of 2013) *POFI 1441 Integrated Computer Applications – textbook not available for Office 2013 (Will change to POFI 1372). This is only offered in the spring and hopefully a textbook will become available by Spring 16. The committee suggested putting together a resource that will allow the student to practice the skill of integrating applications.

Enrollment Update

Jane reported that enrollment has been down for the last 2 to 3 years. Data shows that the programs enrollment is 12% down from last spring and 17% down from last fall. Pat Tallent mentioned that financial aid could be a factor to consider. Reed Peoples shared that the drop in enrollment may be due to the cancelled classes at Hays that would have made if the proper software applications were installed in the OA labs. He also mentioned that projections show that enrollment will go up based on growing trends of the city and the need for training in specific job fields. Wendy Chance asked what we are currently doing to market the program. Jane, Juanita, and Roni explained that the college currently conduct outreach events but those events are not specific to individual programs. Office Administration would need to reach out to marketing for specialized concentration. Wendy Chance suggested that Jane come up with a 4 point marketing plan for 2015 that would attract students that are in the working field. She also made the suggestion to bridge with workforce solutions and work to discover programs that are currently in place to assist potential candidates with obtaining training for employment.

Roni presented a resume created by a student and asked for feedback. Some of the response to the resume was as follows: 1. Add a month next to the year 2. Quantify what you do (What was the outcome of the task?) 3. Make sure your duties exemplify notable skills 4. Delete fluffy words 5. Too many bullets (keep the resume easy on the eye) 6. Become creative with your job descriptions 7. Focus on key words 8. Don’t use outdated education or training that’s not relevant to the job you are applying for. Mary Joy Guzman asked for updated resume tips and what should be left off of a resume or updated on a resume? 1. Home address 2. Home phone number 3. Get a Gmail address 4. Use a traditional email address 5. Date it 10 years back 6. Date it 10 years plus if it is a position that required a license or special training Pat Tallent presented the question, what is considered entry level? 1. No experience 2. Participation in a program that teaches you a skill for a particular field 3. Job titles change often, ie., administrative specialist or administrative associate
