Agenda:

1)
Description
Essay Score Codes
Presenter
Kathy G, Doug G, and Yolanda C
Minutes
The issue is what to do with ACT essay scores that are flagged as \'\'unscoreable\'\' (code 90). Part of the problem is the ambiguity of \'\'unscoreable\'\' -- is it equivalent to \'\'not taken\'\' or \'\'failing\'\'. Those present believed that the latter was the more correct interpretation. Consequently, a \'2\' would be used This would seem to be acceptable to the Coordinating Board, and IT AppDev can automate it so that a score of \'2 gets stored without the TSI Coordinator having to do manually enter a score. ADDENDUM: Ongoing discussions are taking place as a consensus agreement has not yet taken hold.
2)
Description
Review of post-Datatel Software Updates
Presenter
Group Discussion
Minutes
No problems were reported with the Datatel software updates (i.e., patches) that were installed in Collive on January 29, 2010. A review of the software updates about to be applied in Coltest on February 4 was conducted during the CORE meeting.
3)
Description
Multiple records for same student/employee
Presenter
Group Discussion
Minutes
Conditions under which a student/employee can be created in Datatel/Colleague were discussed, and those conditions are easier for duplicates to occur now that social security numbers are no longer provided, or are only partially provided. Vigilance is needed and there are no easy solutions. The method of merging duplicate records is as cumbersome and primitive as can be. A senior level Developer is required to spend 5 working days meticulously evaluating and adjusting hundreds of records. This will have to be an ongoing discussion.
4)
Description
Departmental Procedures -- adding PERSONs
Presenter
Andrew, Kathy, and Jim
Minutes
In conjunction with Item #3, the CORE Committee needs to review the various departmental procedures for adding PERSON records. CORE Committee members were asked to provide a copy of the procedures in order to begin the review process.
5)
Description
Partial SSNs on Transcripts - Downstream Procs
Presenter
Kathy Galaviz
Minutes
The Student System team of IT AppDev was hit by an unexpected challenge last August when, without warning, transcripts began to be transmitted with only partial SSNs provided. The solution is now in place, but because of the reduced chances of identity management certainty, a person is required to view and verify the likely \'\'matches\'\'.
6)
Description
Online Directory Proposal - Mobile phone on XOFF
Presenter
Jim Malmros
Minutes
A new field has been created on the XOFF screen. It allows an employee\'s mobile telephone number to be added and stored. If populated on XOFF, it will be displayed on the Employee Online Directory.
7)
Description
Review of Department Codes - Active vs Inactive
Presenter
Andrew Christie
Minutes
A list was provided that showed that there are currently 84 departments flagged as \'active\', but with no employees associated with them. It was pointed out that this may be legitimate; e.g., Air Force Science is a valid academic department even though courses in Air Force Science are rarely made available. On the other hand, there are these active departments: \'\'Adj Faculty Stipend\'\', \'\'Conferences\'\', \'\'Connections\'\', \'\'Elections\'\', etc. This needs to be more further evaluated.
