Agenda Approved with Addition. -Addition of Item 2-A-Resolution

-Melissa Discussed resolution made in December. Solutions were put in to place for payment info in Self-Service. -Committee determined that resolution does not need to move forward.

-Adam will confirm a 'forgot password' link is available for prospective students completing ACC application- prior to eID being assigned.

-The Website will go live before spring break. It is focused on prospective students as a shopping experience. -Marketing will send link to staff and students to review and make suggestions or corrections prior to launch. -There are currently two online course schedules: Legacy and Self Service. Andrew indicted modifications can be made to both. Self Service will be in website home page. -Concern is getting the syllabi within three clicks of homepage. Also hearing a need for a Self Service """"""""""""""""""""""""""""""""""""""""""""""""""""""""""""""""how to"""""""""""""""""""""""""""""""""""""""""""""""""""""""""""""""" guide. -Need to address Self Service path for adult education environment.

-In Self Service there is a new 'Pay for Classes' link under Financial Information but requires two extra clicks to get to TouchNet. -Online Services workflow is still operational but it takes more steps to get to TouchNet to pay. Self-Service takes fewer steps. -Online Services link to TouchNet to be obsoleted and moved to Self Service. -Self Services Changes launched on Feb 12th for both staff and students. -Proposals: -Have 'Pay for Classes' moved to a persistent tile on Self Service Home Screen. -Have persistent 'Payment Reminder' banner on the Plan & Schedule page. -Will be soft marketed to students but need strong presentation of changes to front end staff to be able to help students navigate and to direct students to Self Services. -Direct students to 'Pay for Classes' to introduce them to the new site. -Still no platform for CE students to register and pay. CE students continue to use Instant Enrollment

-Erica asked that we add under TSI section to submit 'official' copy of transcript in addition to uploading an 'unofficial' copy. -Student asked to upload unofficial copy when applying in addition to submitting an official copy. Concern students will be confused about process. -Kathy James mentioned the challenge of identifying ESOL students and testing required at the front end of application process. -Cheryl noted that wording on #14, Pay for Classes, will be updated. Also the wording for parking permits and bus passes under Transportation & Parking due to the closing of some campus Cashier Offices.

-Received numerous positive reviews and shout outs to staff and departments across the district. -Comments indicate teams working together to assist students -Complaints included the extended registration, incorrect payment deadlines posted, degree map not up-to-date and no access to CRM for advisors. -Regarding extended registration -Systems and communications were not set up to handle a last minute decision. While student issues were being resolved in a timely manner, the communication to them and front desk staff was not.
